Business Correspondence: Meaning, Features & Format of Business Letters

Study material and explanations for Unit 3

Business Correspondence: Meaning, Features, and Format

1. What is Business Correspondence? (In Simple Words)

Whenever a business firm exchanges written letters, emails, circulars, or memorandums with its customers, suppliers, banks, government departments, or employees to conduct day-to-day commercial transactions, it is called Business Correspondence.

Every business letter acts as a “Silent Ambassador” (or representative) of the company — a neat, polite, and well-formatted letter builds instant trust and goodwill, while a sloppy letter ruins the company’s image!

2. Essential Features (Qualities) of Good Business Correspondence

6 Key Features of Effective Business Correspondence
1. The "You-Attitude"
Focuses on the reader's benefit ("You will enjoy...") rather than selfish "I / We" boasting.
2. Simplicity & Clarity
Uses modern, simple English instead of outdated phrases like "We beg to state".
3. Brevity & Conciseness
Busy executives don't read long stories — keeps paragraphs short and crisp.
4. Accuracy & Completeness
Double-checks invoice numbers, dates, item codes, prices, and enclosures.
5. Courtesy & Positive Tone
Remains polite and respectful even when writing a complaint or payment reminder.
6. Neat Visual Appeal
Proper margins, clean letterhead, balanced spacing, and zero spelling errors.

💡 Exam Tip — Avoid Old-Fashioned Commercial Jargon:
Modern business correspondence avoids stiff, outdated 19th-century phrases:

  • ❌ Instead of: "We beg to acknowledge receipt of your letter of the 15th inst."
  • ✅ Write: "Thank you for your letter of 15th October, 2026."

3. Standard Format (10 Essential Parts) of a Business Letter

In DAVV BBA exams, a very popular question is: “Draw the format of a Business Letter and explain its parts.” Here are the 10 standard parts in exact top-to-bottom order:

  1. Heading / Letterhead: Printed at the very top; contains the sender company’s Name, Logo, Full Postal Address, Phone Number, Email, Website, and GST/CIN Number.
  2. Reference Number (Ref. No.): A unique file code (e.g., Ref: CN/PUR/2026/108) used for quick filing and future reference.
  3. Date: Written in full standard format (e.g., 26th October, 2026 or October 26, 2026 — never write confusing numbers like 02/03/26).
  4. Inside Address (Receiver’s Address): Name, designation, firm name, and full postal address of the person/company to whom the letter is being sent.
  5. Attention Line (Optional): Used when addressing a company generally but wanting the letter to reach a specific officer’s desk (e.g., Attention: Mr. R.K. Verma, Purchase Manager).
  6. Salutation (Greeting): Polite greeting matching the Inside Address (e.g., Dear Sir / Madam, or Dear Mr. Sharma,).
  7. Subject Line: A bold 1-line summary telling the reader what the letter is about at a single glance (e.g., Subject: Quotation for 50 HP Pavilion Laptops).
  8. Body of the Letter (The Main Message): Divided into 3 neat paragraphs:
    • Opening Paragraph: Reference to previous letter and main purpose.
    • Middle Paragraph(s): Complete details, quantities, prices, terms, or facts.
    • Closing Paragraph: Polite call to action and expression of goodwill (“We look forward to your prompt reply”).
  9. Complimentary Close (Subscription): Polite sign-off before the signature:
    • If Salutation is Dear Sir/Madam → Close with Yours faithfully,
    • If Salutation is Dear Mr. Sharma (by name) → Close with Yours sincerely,
  10. Signature Block, Enclosures (Encl.) & Copy (CC):
    • Handwritten signature + Typed Name + Designation of the sender.
    • Encl: Lists attached documents (e.g., 1. Price Catalogue, 2. Demand Draft).
    • CC: Names of other officers receiving a copy of the letter.

5. Layout Styles (Forms) of Business Letters

  1. Full Block Format (Most Modern & Popular): Every single part of the letter — Date, Inside Address, Salutation, Paragraphs, Complimentary Close, and Signature — starts flush from the Left Margin! Fastest to type on computers.
  2. Modified Block Format: Everything starts from the left margin except the Date, Complimentary Close, and Signature, which are placed on the Right Side.
  3. Semi-Block (Indented) Format: Similar to Modified Block, plus the first line of every paragraph in the body is indented by 5 spaces.
  4. Simplified (NOMA) Format: Omits the Salutation (Dear Sir) and Complimentary Close (Yours faithfully) altogether; uses an all-caps Subject line.

💡 DAVV Exam Tip

Question (10 Marks): “What is Business Correspondence? Explain the essential features and standard format (parts) of a business letter with a neat diagram.”

  • Draw the 10-Part Full Block Layout Box shown above — examiners award high marks for a labelled visual layout!
  • Remember the golden rule: Dear Sir pairs with Yours faithfully, and Dear Mr. Verma pairs with Yours sincerely.
