Modern Forms of Communication: Email Writing, Format & Etiquette

Study material and explanations for Unit 5

Modern Forms of Communication: Email (Electronic Mail)

1. What is Email (Electronic Mail)?

In modern offices, physical paper letters sent by post have been largely replaced by Email (Electronic Mail).
Email is a digital method of exchanging written messages, documents, spreadsheets, PDFs, and images instantaneously from one computer or smartphone to one or more recipients anywhere in the world over the Internet.

Whether you are applying for a job, sending an invoice to a client, or submitting a monthly report to your manager, Email is the #1 official written communication tool in the corporate world today!

2. Standard Structure (Anatomy) of a Professional Business Email

Every professional business email has 8 essential fields/components:

8 Essential Parts of a Professional Business Email
1. 'To' Field (Primary Receiver)
Email address of the main person who needs to read and act on the email.
2. 'Cc' (Carbon Copy)
People kept "in the loop" for information; everyone can see who is in Cc.
3. 'Bcc' (Blind Carbon Copy)
Hidden recipients — other receivers CANNOT see who is in Bcc (protects privacy!).
4. Subject Line
Crisp 5–8 word summary of the email's purpose (Never leave it blank!).
5. Professional Salutation
Polite greeting: "Dear Mr. Sharma," or "Hi Priya," (Never "Hey bro").
6. Email Body (3 Parts)
1. Opening context ➔ 2. Main points/bullets ➔ 3. Clear Call to Action (CTA).
7. Sign-off & Signature
"Warm regards," + Full Name, Designation, Company Name, and Phone Number.
8. Attachments
Attached PDFs, Excel sheets, or reports (Always mention attachments in the body!).

Don’t Confuse Cc vs. Bcc in Exams!

  • Cc (Carbon Copy): Visible to all recipients. Used in office teamwork when you send a task to a colleague (To: [email protected]) and copy your manager (Cc: [email protected]) so the manager stays informed.
  • Bcc (Blind Carbon Copy): Invisible to other recipients. Used when sending a circular or newsletter to 200 external clients at once so that one client cannot see or copy the private email addresses of the other 199 clients!

3. Golden Rules of Professional Email Etiquette (Netiquette)

  1. Write a Clear, Actionable Subject Line:
    • ❌ Bad Subject: Urgent or Hi or [No Subject]
    • ✅ Good Subject: Monthly Sales Report – Indore Branch (October 2026)
  2. Use a Professional Email ID: Always use [email protected], never childish IDs like [email protected].
  3. Keep It Short & Scannable: Use short paragraphs and bullet points so the reader can read it on a mobile screen in 30 seconds.
  4. Never Type in ALL CAPS: Typing PLEASE SEND THE FILE TODAY in all capital letters is considered SHOUTING and rude in digital communication!
  5. Attach the File Before Typing the Receiver’s Address: Avoids the embarrassing mistake of sending an email saying “Please find attached” without actually attaching the file!
  6. Use ‘Reply All’ Carefully: Only click Reply All if every single person on the thread genuinely needs to read your reply.
  7. Proofread Before Clicking Send: Check spelling of the recipient’s name, dates, and tone.

4. Two Ready Workplace Email Specimens (For Syllabus Activity 2)

Specimen 1: Workplace Email Submitting a Project Report to Manager

To: [email protected]

5. Merits and Limitations of Email in Business

Merits (Advantages) Limitations (Disadvantages)
• Lightning Speed: Reaches across the world in 2 seconds.
• Almost Zero Cost: Saves paper, printing, envelopes, and courier fees.
• Permanent Digital Record: Easily searchable in inbox folders for years.
• One-to-Many Broadcast: Can reach 500 branch offices with 1 click.
• Supports Multimedia Attachments: PDFs, Excel, images, and links.
• Information Overload & Spam: Executives get 100+ emails daily.
• Lacks Non-Verbal Warmth: No voice tone or facial expression, so short emails can sometimes sound cold.
• Cybersecurity Risks: Phishing links, malware attachments, and data leaks if sent to the wrong person.

💡 DAVV Exam Tip

Question (10 Marks): “Explain Email as a modern form of business communication. Discuss the rules of email etiquette and draft a professional workplace email.”

  • Draw the Email Specimen Box with To:, Cc:, Subject:, Salutation, Bullet points, Sign-off, and [Attachment].
  • Clearly distinguish between Cc (Carbon Copy) and Bcc (Blind Carbon Copy)!
